This guide covers the transfer of Google Drive data from a St. Ambrose Google Workspace Account into another Cloud Storage Solution such as OneDrive, DropBox, Google Drive, and others. There are some services that are exclusive to Google Workspace, so you may not be able maintain functionality of all files when reuploading them. Files and services that do not have a 1:1 equivalent, or are otherwise incompatible in other Cloud Storage/Service Platforms include, but are not limited to: Forms, Google Classroom, Google Business, YouTube, Google Calendar*, Google Photos, and more.
*Please reach out to IT support with questions about your Google Calendar, as solutions may vary for these, depending on the complexity of your calendar.
Note: With the pending shutdown of the St. Ambrose Google Workspace, sharing files and using mail forwarding will not work if you need to maintain access to your email or documents. You need to transfer this data and change your email for relevant services, as once a document owner's account is shut down, their shares and forwarding settings will cease to function. Additionally, any peripheral accounts attached to your Google Workspace account such as YouTube and Google Business will be shut down when the account is disabled.
Download and Upload Files in Google Drive & OneDrive
Step 1. Log in to your old account and create a new folder to store all files under the root directory of your Google Drive.
Step 2. Move all files to the new folder.
Step 3. Right-click the new folder, click the “Download” button, and wait for the process to complete.
Step 4. Log in to your destination account, in the case of OneDrive, you can visit this link to access your St. Ambrose/365 OneDrive.
Step 4.5. For non-OneDrive accounts, there's often an "Upload Files" option available, similar to OneDrive - if you need assistance with non-365/Google services
Step 5. On the left side panel, you should see an "Add New" option near the top left corner of the page. Clicking this will open a menu where you can choose what content you'd like to add:
Other Useful Items:
Google Takeout: Google Takeout is a migration tool developed by Google, it can be used to download all of your Google Account's data, we have a more detailed guide on Google Takeout here. Some items like Mail and Google Business settings cannot be reuploaded to other services such as Outlook, so you may need to use a third party service for some Google account content.
OneDrive for Windows Desktop: For OneDrive, this process is made easier with the OneDrive desktop app. The desktop app allows for you to access your OneDrive folders as if it were a folder on your computer, so once you've downloaded your Google Drive content, you can drag and drop it into your preferred folders on your computer. Accessible through File Explorer, your local OneDrive will look like this on Windows machines:
If you don't have the OneDrive desktop app, it's available for Windows here and MacOS here.
Mozilla Thunderbird: With the correct configuration, you can use Mozilla Thunderbird to migrate emails from your Gmail to other services. For help with configuring Mozilla Thunderbird to accomplish this, please submit a request via email to the St. Ambrose IT department at ITsupport@sau.edu. In most circumstances, we will not be able to migrate your account ourselves, but we can assist in the configuration and setup for the migration process.
