Adding or Verifying an Invite to Join Calendar (as editor/creator)
This will not show that the user has added the calendar to their view, just that an invite was sent
- Go to Google Calendar > My calendars (on the left side column)
- Go to the calendar shared to make appointments (example: Student Appointments)
- Hover over the calendar with and click on the three vertical dots
- Click on Settings and sharing:
- Calendar Settings should be displayed on the top of the page.
- Scroll down the page to view Share with specific people. Here you’ll be able to view who has accepted the calendar invite and what limitations you’d like the user to have.
- Click + Add People if there is a user missing from this list and a new invite will be sent out:
- After clicking Add this Calendar, a message will display on the user’s screen asking to add it. Have them click Add
- The calendar for appointments should now be displayed on the user’s calendar.
- Click on the X to the right of the name to remove users.
If a user states that they did not receive the invite; however, are on the list, you may try removing the user’s account and re-adding them to send a new invite
Enabling Calendar View
If the user is not able to view the appointment on their calendar, they may have to enable the calendar for viewing or have not accepted the invite to be added.
If the user is a member of the calendar, have them make sure that the check mark next to named calendar is filled in:
If there is no checkmark, they are not enabling this view:
Appointment Function in Calendars
- Create a new Appointment in Google Calendar as you would an event under the calendar you wish to use.
- Other users who are part of the event will see the appointment times posted and can click on the appointment time to open the below menu:
- Click on ‘Go to appointment page for this calendar’ to be taken to a new page that will allow you to select the Appointment Slot and click the time to set up an appointment
- After filling in the requested fields in Book an appointment, click Save, and then View / Edit in Google Calendar when prompted
- In Google Calendar the appointment should show:
- Calendar might create the new appointment for the user in My Calendar and ‘Tasks’
- Please make sure that both the calendar that the appointment was made through and ‘Tasks’ boxes are checked so that they are viewable (please see Enable Calendar View instructions above)
